8. Metadata and Retention

Guide summary

Fill SharePoint columns from email headers. Required columns block File until they are complete. Retention labels are written to the saved item.

8.1 Header mapping

When the library has matching fields, Mailroom can fill From Email, Date Received, Importance, To, Subject, and similar columns. Turn mapping on in Preferences → Filing.

8.2 Column types

  • Text, choice, date, number, yes/no — typed or picked in the pane.
  • Person — resolve a work email. Separate several people with a semicolon.
  • Managed metadata — term label, or Label|term-guid.
  • Lookup — pick a value, or type Title|id.
  • Hyperlink — URL, or Label|https://example.com.

8.3 Required columns and content types

Required fields are enforced before filing. Changing the content type reloads columns. A document set name creates a folder and applies a document-set content type when the library has one.

8.4 Retention and sensitivity

  • Apply a Microsoft Purview retention label already published for the destination library.
  • Leave the label blank to inherit the library default. Mailroom does not decide how long records are kept.
  • Sensitivity labels continue to inherit from the destination library.

8.5 Duplicate check

When enabled, Mailroom looks for an existing .msg or .eml with the same name in the library. You can replace the existing file, keep both, or open the existing item.
