Typical step-by-step flows for filing one message, cleaning an inbox, and rolling Mailroom out to a tenant.

14.1 File one message

  • Open the message and choose File Email.
  • Confirm the suggested library or pick another from Favorites, Browse, or Search.
  • Review the file name, format, attachments, and required columns.
  • Click File. Optionally create a rule for that sender.

14.2 Clean an inbox

  • File a few representative senders first so Mailroom can learn destinations — or create rules.
  • Open Inbox cleanup, choose a date range and after-file action, then Scan again.
  • Skip senders or domains you do not want mapped.
  • Select conversations and File.

14.3 Tenant rollout

  • Admin deploys Mailroom and grants Graph consent.
  • Admin picks a dedicated policy library and publishes a default destination, starred sites, and Save on Send.
  • Users open a message, connect if prompted, pick the same policy library, and file.
End-to-end filing lifecycle
The same lifecycle applies to File, File selected, inbox cleanup, and Save on Send.

14.4 Surfaces

Deploy once. The task pane opens beside the message on Outlook for Windows (classic and new), Mac, and the web. Save on Send uses the Outlook Smart Alert. Outlook mobile supports the read pane.
